STANDARD: ALL ACTIVITIES STAFF WILL KNOW THE FUNCTIONS AND ROLE OF THE DEPARTMENT, THE RULES, AND REGULATIONS WHICH GOVERN IT, AND THEIR OWN ROLE WITHIN IT.

PROCEDURE:
1. Introduction on the role and goals of the department and the standards of service we will aim to meet.
2. Explanation of the training schedule for each employee, and what the training involves, plus the importance of it – schedule given out for both weeks.
3. Showing of departmental and line of command. This will be done using a line chart .Reasons for it and the importance of it will be stressed.
4. Explaining of the functions of the department, i.e. the product of it, the outlets and equipment, the functions of various job categories. Job descriptions will be given out and explained thoroughly.
5. How the department relates to other departments – particularly Food and Beverage, Front Desk, Sales.
6. The personnel functions of the activities Department:-
a) Who hires employees.
b) Who orients employees.
c) Who conducts ongoing training.
d) Complaint procedures and style of management.
e) When and by whom meetings are held within the department.
f) Disciplinary action/probationary period.

1. Rules and regulations of the department. Handout given and the importance of abiding them will be stressed. Appearance standards.
2. All staff will be given a tour of the property with particular not being taken of – Ballroom, Malolo Lounge, ports O’s Call Pool area, Make area, Gardens, Beach bure, Tennis courts, Tour/ activities desk ,Beach.
3. Relationship with Fish Fiji Limited and other concessions.

The learning of management skills will be handled by the personnel Department, and a course will be run either before the hotel opening date, or after it, in more of an on – going format.

TASK: SUPERVISION OF ON – GOING STAFF TRAINING
STANDARD: THE ASSISTANT WILL ASSIST THE ACTIVITIES DIRECTOR WITH THE ORGANIZATION AND PREPARATION OF NO – GOING STAFF TRAINING. THE TRAINING MUST BE SPECIFIC AND RELEVANT.

PROCEDURE:
The organization of the Sheraton Fiji is such that no department can stand still .Therefore to maintain the high standards that have been set, an on – going training programme has to be implemented.
The programme is aimed at checking that the initial skills taught in the pre – opening have been fully grasped, and that the high standard continues to be met.
The on – going training and testing will be preparedly the activities Director and his Assistant and will be largely implemented by the latter.
Training and testing will be carried out in various ways:
1. Spot checking of particular tasks, and grading.
2. Verbal testing, one on one.
3. Written tests.
4. Re-Training and recovering of material.
The results of the tests will be used to grade employees and as an indication where more training is needed.
This on – going system is very necessity in ensuring that the high standard set in the initial training is continued and in many cases upgraded.

TASK: PREPARATION OF ROSTERS AND REPORTS
STANDARD: THE ASSISTANT AND THE SUPERVISOR WILL PREPARE WORK ROSTERS AND JOB ASSIGNMENTS TO THE HIGHEST STANDARD. ALL PEAK TIMES WILL BE COVERED AND ALL STAFF WILL BE TREATED FAIRLY

PROCEDURE:
1. Assistant Activities Director is responsible for the submitting of a weekly report. It will cover three areas:
a. Kingfisher sports
b. The Activity programme
c. The Activities Staff
Those reports will be outlined later.
1. In conjunction with the Equipment Supervisor, the Assistant will also have to prepare work rosters. The rosters should satisfy certain requirements.
a. Each staff member must do 48 hours of work, except casuals and part timers.
b. All activities should have the correct number of staff assigned to them. Adequate cover should be supplied for normally programmed activities.
c. An allowance should be for bus schedules.
d. Staff must be available for early morning cleaning and the early evening packing away – a shift system will operate.
e. The roster must be flexible enough to cover any special problems which may arise.
PROCEDURES :( continued)
1. On the completion of these rosters, on a weekly basis – the supervisor will then circulate them to the staff and ensure no problems will arise. He should then, each evening, prepare job assignments for all Beach Attendants arrival, and to ensure that each knows what he will be doing on arrival, and to ensure the early morning cleaning on arrival, and to ensure the early morning cleaning is being done the assignments will be put up on the board in the Beach Bure the evening before.
It is the job of the Assistant to write the roasters and it is the Supervisor’s job to ensure that they are complied with . The Supervisor should also assign jobs to cover each shift and each activity.

PROCEDURE:
It is essential that all relevant department information is relayed back to the Activities Director. For this reason the Assistant will fill out a weekly report The report will cover three areas.
1. The Kingfisher Sports Water concession – a weekly progress report as outlined earlier.
2. The Activities programme – its strengths and weaknesses with recommendations. Recommendations are to be included.
3. The staff – a weekly report covering attitude, progress and weaknesses. Recommendations are to be included.
This report will be discussed each week and may brought up in the Activities department meeting. It serves as a guide and as a foundation on which to build a better service.

STANDARD: BOOTH STAFF WILL HAVE A KNOWLEDGE OF THE WORKINGS OF THE TOUR DESK

PROCEDURE:
The Tour Desk Orientation will follow certain steps:
1. Introduction
2. Goals of the Tour Desk
3. The structure of command – re-outlined
4. The structure of the tour desk – day to day responsibilities
5. How the Tour Desk relates to other departments
6. The rules and regulations of the Tour Desk ,and the Standards required
7. The names and numbers of all the people the attendant will have to deal with confirmation procedures meet and greet etc.
8. Summary and test of all information, tasks, and procedures.
This procedure will be carried out in two ways – in a theory lecture and in a practical way at the Tour Desk, involving operational procedures and role play.

TASK: IMPLEMENTATION OF A WET WEATHER PROGRAMME
STANDARD: THIS PROGRAMME MUST BE IMPLEMENTED QUICKLY, AND EFFICIENTLY

PROCEDURE:
In the event that the weather forces a cancellation of the days activities programme or a part of it, it is important to have alternative activities available. The Assistant Activities Director is responsible the formation of a wet weather programme and its content will be cleared by the Activities Director.
To implement such a programme at short notice certain steps should be followed:
9. Ensure that all the indoor venues needed are available and then book them with the Catering manager.
10. Change the Activities information board accordingly, along with the Activities phoneline tape if necessary.
11. Ensure the Reception, Beach Bure, Activities, desk and other outlets know of change in the programme, and the alternative events.
12. Have an announcement made.
13. Re-schedule the Beach Attendants accordingly with the assistance of the Equipment Supervisor.
14. Ensure that the Equipment Supervisor is aware of the extra equipment need and its required location.

15. Obtain a forecast and get an indication of the weather pattern and the chances of a repeat of the weather for the next day – act accordingly.
16. Begin the wet weather the progamme and special activities.
It is essential to implement the programme quickly and to cater for guests needs efficiently .It is also important for children to be adequately taken care of.
In the event of a cyclone or hurricane the Assistant must have a pre- prepared programme for the people in the Ballroom .This programme should be prepared now.

TASK: LIAISON BETWEEN THE ACTIVITY DEPARTMENT AND KINGFISHER SPORTS
STANDARD: THE ASSISTANT WILL SUCCESSFULLY MONITOR THE OPERATION AND STANDARD OF SERVICE, REPORTING REGULARLY BACK TO THE ACTIVITIES DIRECTOR

PROCEDURE:
Kingfisher sports operate from one half of the Beach Bure and are involved with all water excursions and motorised water sports .They have their own staff and equipment and their Manager is Mr. Peter Rinaldi. Although they operate separately, it is the job of the Activities Director to ensure that the service they offer is up to the standards of the rest of the hotel. To do this, their operation must be monitored.
Therefore in his weekly report the Assistant Activities Director must cover:
1. The operation of the Beach Bure.
2. The handling of guests.
3. The feedback from guests.
4. The things that go particularly well and particularly badly.
5. The organization of trips generally, and the popularity of each one.
The Assistant must also be aware of any equipment lending or borrowing and must mediate and control the relations
