3 Dialogue 1
The Admin Manager wants the Personnel Manager to arrange the update of all personnel records.
A: I want you to do a complete update on all the personnel records of the company. I’ve found a number of them are out of date.
B: That’ll be a big job and it’s going to take a while. When do you want me to start?
A: You should get started straight away. You can delegate the update of the wages and casual people to one of your clerks but, I want you to handle the salaried staff.
B: What are the main areas we need to look at?
A: There are several areas we need to confirm. The first is the current position and grading of everyone to make sure their pay rates are compatible.
B: I know some of the casual people have been upgraded to full-time employees but I’m not sure if those records have been updated.
A: It’s things like that we need to check to make sure we have the dates right for calculating their leave entitlements.
B: What about the company policy? That requires people to take their leave when it becomes due?
A: Yes, that’s another thing we need to check. Make a list of anyone who is overdue for leave so their Supervisor can roster their time off.
B: Are there any other areas that have priority?
A: You may have to send out a questionnaire to confirm the current addresses and contact information for everyone. I know some of that information is out of date.
B: What about the family position? If anyone has a new addition to the family that will affect how much tax is deducted.

An ex-employee wants information for a new Worker’s Compensation Claim form.
A: Could I see the Personnel Manager please? I need some information for my Worker’s Compensation Claim.
B: The Manager’s not available at the moment but, maybe I can help you. Could you give me your name please?
A: Yes, sure. My name’s John Smith and I used to be employed as a welder in the Ship Building Section.
B: Just a minute, I’ll look it up on the computer. Ah, there you are. You were employed for 3 years up until 9 months ago.
A: Yes, that’s right. I had an accident in the workshop when some scaffolding collapsed and I broke my arm.
B: Yes, there’s a reference to the accident and the investigation. The Worker’s Compensation Claim number is listed.
A: That’s good. The file should have the information I need.
B: Just what is the information you are after? It says here the claim was finalised.
A: It was at the time but, they had to put pins in my broken arm and said, if I had any problems, I would need to get back to them.
B: So, what’s happened? Are you having problems?
A: Yes I am and it seems they may have to operate again. I have to complete this new Compensation Claim and that’s why I need some details from the original.
B: OK. Wait a minute and I’ll go and get the file.

Keeping accurate and up to date staff records is an important function of a properly run Personnel Department. This applies to all companies, large or small. The records are important while the employee is working for the organisation but, they can be just as important after an employee leaves. The records need to include all pertinent information about the employee, such as, their age, their address, marital status, number of children (if any) and after hours contact details.
It is normal to keep a work history of the employee to record their performance, promotions, wage or salary variations and any disciplinary actions that might have occurred. Some companies require pre-employment medical examinations and annual medical checkups and that information becomes part of the employee’s record. Details of any health problems or accidents during a person’s employment can become evidence in any future compensation claim.
Keeping track of annual leave, sick leave and long service leave entitlements is also part of the personnel record keeping. When an employee is dismissed, or laid off, the staff record provides accurate information relevant to the termination.
