TASK: LOG BOOK CHECKING
STANDARD : LOG BOOKS ARE CHECKED AND SIGNED OFF AT THE START OF EACCH SHIFT

PROCEDURE :
The reason for using log books is so information can be chronologically recorded and relevant information passed on from shift to shift.
At he begnning of each shift the foreman is to read the previous shifts notes to check for any work that may be required to be carried out of any relevant information. After reading, the Foreman is to sign below the last entry in the book.
The Foreman will then sign open the log book for his shift in the following format.
SHIFT: 0800 – 1430 or 1400 to 0003 or 0000 to 0830.
NAME: (Self Explanatory) SIGNATURE: (Self Explanatory)
PAGER NO:
STAFF ON SHIFT: e. g. foe (pager NO.), Steve (Pager NO.).
TIME: (Use 24 hours clock)

PROCEDURE :
One of the following Foreman are rostered in to every shift:
a) Electrical
b) Refrigeration and Air Conditioning
c) Plumber
d) Mechanic
In the absence of the Chief Engineer and Assistant Chief Engineer the Duty Foreman will be responsible for the Department. This includes:
a) Assigning work to staff
b) Ensure staff are working to standards
c) Fire officer
d) Liaising with other departments
e) Handling emergency
f) Issuing tools and stores and recording
g) Receiving telephone calls
h) Completing own work load
i) Communicating with chief or Assistant if necessary
j) Filling in log books
k) Ensure staff are on time and in correct uniform

TASK HANDLING DISCREPANCIES FROM STANDARD
STANDARD :CONSTRUCTIVELY HANDLE DISCREPANCIES FROM STANDARD WITH RESPONSIBLE EMPLOYES..

PROCEDURE :
The standards that have been set are the minimum standards each employee is to achieve, it is the job of the Supervisor to ensure the standards are met and maintained.
If an employee fails to meet the standards, first of all ensure that they are aware of what is expected. Ask them if they feel that what they have done meets the standard, stand back and listen, it is best if they realise the downfall themselves and critique their own performance.
If an employee does not realise what the discrepancies are, point it out to him and ask how it can be improved on, try and get him to find his own answer and/or better way of achieving the objective. If this is not forthcoming explain what was to be done and if necessary show him by example.
When the work is completed satisfactorily to standard, go back over the job and point out the advantage of doing it correctly, and praise him for achieving the standard.
Continuous repeating of below standard work is to be reported to the Chief Engineer or Assistant Chief Engineer.

TASK CHECKING MAINTENANCE SCHEDULES AND ASSIGNING
STANDARD :ENSURE WEEKLY MAINTENANCE IS COMPLETED TO STANDARD AND REGULARLY ROTATED BETWEEN DEPARTMENT

PROCEDURE :
Maintenance sheets will be issued and collected each Monday morning by the Assistant Chief Engineer.
The Assistant Chief Engineer will assign work by Department, and it then becomes the duty of the Foreman to assign to each emplyee of his respective Department.
When assigning work it is most important that items to be maintained, get rotated on a regular basis between. employees. This stops repetitive work problems which frequently cause standards to drop.
Where possible Maintenance work to areas such as Kitchen, Laundry and Air Conditioning which requires shut down should be assigned to the evening and night shifts.
The Foreman are to monitor progress on weekly maintenance on a daily basis to ensure all work is completed by the following Monday morning before 0800 hrs.
Completed Maintenance Sheets are to be handed to the Aaaistant Chief Engineer for checking.

TASK SETTING UP A MAINTENANCE PROGRAMME

Refer to Sheraton Manuals available from the Assistant Chief Engineer.

TASK: ENSURE WORKSHOP, AND MACHINERY CLEANING
STANDARD :ENSURE WORKSHOPS AND MACHINERY ARE KEPT IN A CLEAN AND TIDY CONDITION.

PROCEDURE :
At the end of each shift 10 minutes have been set aside for cleaning of workshops and equipment.
All Foreman on shift are to be present during this time to ensure and help clean workshops and equipment.
It will be the Foreman’s direct responsibility to check everything is clean, tidy and accounted for before releasing the staff from work.
Professionalism in Engineering starrts in the workshops. If areas are clean and tidy, things can be located easier, further damage to equipment will mot occur and the men will have pride in their work place.

STANDARD :ENSURE STOCK LEVELS ARE MAINTAINED AND ALL TOOLS ARE ACCOUNTED FOR ON A WEEKLY BASIS.

PROCEDURE :
Each Friday the Foreman are to check their department spare parts, materials and issued tools against the inventory lists to ensure all items are stocked and accounted for. Any discrepancies are to be highlighted and brought to the attention of the Assistant Chief Engineer.
All damaged tools are to be reported at the same time.
Spot checks of inventory lists will be made by the Chief Engineer or Assistant Chief Engineer to ensure standards are being maintained.
Inventory lists are available from the Assistant Chief Engineer’s Office.

TASK: ASSIGNING MAINTENANCE REQUESTS
STANDARD :ASSIGN MAINTENANCE REQUESTS TO STAFF AS PRIORITISED BY THE CHIEF ENGINEER OR ASSISTANT CHIEF ENGINEER.

PROCEDURE :
All work orders will be prioritised. If not prioritised by the Chief Engineer or Assistant Chief Engineer the Foreman will take on that responsibility.
Assign enough work to each individual menber to keep him busy at all times. When assigning work try and rotate duties so each staff member receives exposure to and training on all equipment.
Allow an amount of time to each job and print this on the ticket so the staff member knows what is expected of him. At the end of the day, check off all work complete against time allowed and time taken. Re –assign work to the next shift if all was not completed.
If all items, were not completed find out why, but remember it may have been your time estimation that was incorrect.
The work assigned should be the minimum amount expected to be completed and all staff are to complete as quickly and efficiently as possible and report back for more if assignments are complete.
Try and assign work of a similar nature or located close together, to one individual to save on labour time for changing of gools and or travelling time.

TASK: INSPECTING COMPLETE AND WORK –IN PROGRESS
STANDARD :ENSURE WORK IS BEING CARRIED OUT EFFICIENTLY AND TO STANDARD.

PROCEDURE :
Periodic checks are to be made on each employee by the Foreman to ensure standards and efficiency are maintained.
This is not to be a “Stand Over Affect” but constructive praise or criticism to let the employee know how he is doing and help him if necessary .
When inspecting completed work, take the employee along with you. If the work was good, the employee will enjoy the praise and if it was not up to standard or took too much time, you employee overcome the difficulties. If consistent good work is carried out by an employee or consistent bad work, the Foreman is to let the Assistant Engineer know, so appropriate action can be taken if it could not be resolved between the Foreman and the employee.
All work inspected by the Foreman will have his signature, as well as the person completing the job on the appriate maintenance request form.
When checking work in progress, make sure the employee has the maintenance request with him (Buff copy only), is going about the work efficiently and is using the correct tools for the job.

TASK: WRITING REPORTS
STANDARD :REPORTS ARE CLEAR, CONCISE AND RELEVANT

PROCEDURE :
1. From time to time Foreman will be requested to submit reports to the Chief Engineer in:
a) Employees
b) Changes and Recommendations
c) Technical Information
d) Energy Management
e) Training
2. All reports are to be addressed to the Chief Engineer with copies to no other. (Reports will be reviewed by the Chief Engineer and circulated as necessary.
3. When writing reports they are to be kept brief and to the point, to avoid the wasting in writing and reviewing, all reports are to be written in ink.
4. Reports are tp be sibmitted in clear legible HAND writing (they ae not to be typed)
5. Clearly indicate who id sending the report report and sign your signature beside your name.
6. Attach all RELEVANT information to the report and submit it promptly.

TASK : TIME AND MOTION SIUDIES
STANDARD :CONSISTENCY IN ALLOCATING TIME TO WORK. ALL WORK TO BE CARRIED OUT WITHIN TIME LIMITS SET.

PROCEDURE :
All work carried out on preventive maintenance system and maintenance requests are to have a time limit assigned.
This will either be done by the Chief Engineer, Assistant Chief Enineer or Department Foeman.
This is to ensure staff know what is expected from them and it is also used as a management tool to check productivity level. At the end of each shift the Foreman are to check the “Work Complete” hook for their department and check what each individual completed within the shift.
After checking, return the maintenance requests to the work complete hook. If discrepancies are found in time assigned and time completed, monitor that employees work for two to three days before confronting him to ask if he has a problem. (Always allow 2-3 days as everyone has a off day sometimes).
If discrepancies continue, discuss them with the employee, and go with him to the job and help him to be more productive with advise.
Also keep watch for work that gets completed too quickly, as this could be a sign of not meeting the standards set. This is a frequent problem as staff get over enthusiastic and try to produce as much work as possible and not realising their standards are dropping.
Any continuous probmems are to be reported to the Chief Engineer.
